Agenda:

Possible Training for Instructors - Katina

  • Ariel Malan approached Katina about creating an inclusive instructor training for all of the ProEd instructors.
  • The question: how many units would be interested in offering this to their instructors?
    • If logistics were not an issue, everyone would be happy to have training provided for their instructors.
  • The decision: Katina will look further into the potential training to get information on the trainer's presentations and skill set so that we can make an informed decision.
  • Logistically, it will be difficult to get all of our instructors in at the same time for a training, so the preferred approach would be to find a training that exists and promote to our instructors.
  • Current CECE instructors have been informed of the CTLE training; we may look into getting CTLE up to our building for CE specifically.

Push to Incorporate Slack More - Elliott

  • Just a small reminder for everyone to encourage their staff to use slack as there seem to be a few people who don't check regularly.
  • The good news: James has seen a huge uptick in slack usage within CECE.

Onboarding/Offboarding Process Quick Update - James

  • CECE is still trying to come together on a specific process for onboarding and offboarding. It is important to note that we are trying to include HR as the point of contact that starts the entire process.
    • I.e. someone hires a new employee, they tell Chris, and then everything else follows in a smooth fashion (the person hiring wouldn't need to contact IT themselves to get a phone set up, for example, because it would simply follow in the process)
  • Currently, the new hire forms are not on the knowledgebase. It's in progress, but for now you will need to get those forms from Chris.
  • CECE staff may have noticed the poster we created to welcome Baylee to the office. Anne asked Danielle and Chris to take the lead on that to let everyone know she was starting, so thank you to them and to everyone who wrote on the poster and participated in welcoming her to the office.

Keeping the 11 Star Experience Going - Anne

  • Anne would like examples from management of little things we have done either working with internal or external customer to demonstrate our commitment to the 11 star experience.
  • This material will keep the energy and dedication to the 11 star experience alive and allows us to celebrate our own successes by announcing those examples.

Internships: Use of Handshake - James

  • In the interest of finding more quality interns/work studies/recent grads, James spoke with Career Services, who referred him to Handshake. Handshake is an online job-type forum for internships. A student can go in and say they're at student at the U of U and look at what's available for them on campus.
  • The question: would everyone be interested in creating a Continuing Education space within Handshake so potential interns can find us?
    • Yes!

The Budget is Coming - Anya

  • Marti has set some very aggressive dates for us to have our budgets in, so we will need to kick it into high gear to have our budgets ready for her.
  • Anya is currently finessing the dates, but tentatively:
    • The 6 month forecast is due by the end of January and we'll be moving from there into the 2019-2020 fiscal year.
    • Accomplishments for departments will be due 2/8 so we can work on building our budget narrative.
    • First drafts will be due Mid-February.
    • During the week of 2/19-2/22, Anne and Anya will meet with all of the departments to talk over the budgets so that everyone has time to revise before close to final drafts are due in the beginning of March.
      • Departments need to be close to done at this meeting time. It's not a working session of figuring out what needs to happen with your budget; it's a meeting on revisions to be made before the budget is finalized.
  • From Anne: In your narratives, you want to hit on the E3 experience as much as possible so that we can tie into that when asking for funding.

Sharing Time - All

  • GoLearn's upcoming movie at Brewvies is looking really good! The RSVP list is full and the wait list is very large as well.
  • Sandy Center's rennovations are pretty much finished except for the A/V. The expansions has added two new classrooms, quiet study space, and a conference room.
  • Mandy requested additional tables for 540 Arapeen; we will be getting eight more in order to increase the capacities in our classrooms.
  • Osher has begun! Reminder that classes run on Tuesday, Wednesday, and Thursday for six weeks. During this time, please park elsewhere to create more room in our parking lot for our Osher students.
    • Woodbury is allowing us to park in their lot at no cost right now and it's a short walk across the street to our building. All staff are encouraged to park there for the time being.
