ELI Activity Steps

Zions (Community) Activity Steps (2/16/2023)

Course Set Up Activities:

  1. Create course

  2. Create section

  3. Select section within course

  4. Select courses from nav bar and select fees for course section

  5. Select tuition profile box and the + button, then hit save to add fee to the class section. Done for every section of a particular class.

  6. To initiate flat flee for a course select flat fee box. Name as preferred and select ELI under Revenue GL account. More GL accounts can be added for additional fees.

    1. Flat fee or tuition profile must be checked. Having both checked causes issues.

Application Activities:

Create application:

  1. Student completes Zion’s ELI application on website.

    1. Placement tests sent to student via email

    2. Student requires destiny one account to fill out application.

  2. Create application in destiny one by selecting the application manager in the nav bar

    1. Set parameters as specified and add description.

  3. Connect to questionnaire by selecting the box and the appropriate field.

  4. Click save once parameters are set.

  5. Associate created application with course.

Create Questionnaire:

  1. Select application manager

  2. Select create questionnaire

    1. Creation sections for the questionnaire.

  3. Create questionnaire profile

    1. Add pages, sections and fields as specified for each question. Text box for field type.

    2. Mark questions mandatory.

  4. Create Page fields based on specified criteria

    1. Fields are added to the bottom of the page. These can be re-ordered for the application.

Attach Fee to Application:

  1. Add new section to a course that will use the application

    1. Enter section information as specified.

  2. Click application fee box and select specified fee from drop down list.

  3. Check the show application link in public view box.

  4. Click the save button.

All courses must be in final approval in order to show up in the public view.

Scheduling:

  1. Search for a course. Scheduling can be done through the schedule block in the course or in scheduling from the top nav bar.

  2. Input meeting dates and times, location, type of meeting, etc. and save.

  3. Final approval for a section must have a schedule and a fee in order to be placed in final approval.

Copy Sections:

  1. Login to d1 staff view

  2. Search for course and enter course profile.

  3. Select copy to new section.

  4. Use drop-down to select new term.

  5. Select what options to be copied over and click save.

Instructor:

  1. Attach Instructor to a course through the instructor contract.

Enrollment Restriction:

  1. Login to d1 staff view

  2. Select system administration

  3. Select enrollment rules

  4. Attach to specific fee and application requirements by clicking the appropriate boxes and selecting the option from the drop down menu.

    1. Hit + button to add both.

  5. Click save.

Application Activities: Refer to Zion’s list

  1. Login to d1 public view student portal

  2. Select my applications to finish application process

  3. Complete application started

New application:

  1. Login to d1 public view student portal

  2. Select programs in top nav bar

  3. Select course and click apply button

  4. Navigate to student portal my applications to finish process.

  5. Enter required fields.

    1. Required fields could include questions, references, etc.

  6. Click submit application.

  7. If application has fee, go to cart.

  8. Continue checkout process by entering required fields.

  9. Click continue checkout and view receipt.

  10. Receive confirmation email for checkout and application submission.

Create application:

  1. Login to d1 staff view curriculum manager.

  2. Select application manager from top nav bar

  3. Enter all required fields including program office and costing units.

    1. Set application dates

    2. Select and attach required questionnaire.

  4. Click save button.

Change student information:

  1. Login to d1 staff view

  2. Select enrollment manager from top nav bar.

  3. Search for student and enter student profile.

  4. Change student information as necessary.

  5. Click save button.

Create Instructor:

  1. Login to d1 staff view

  2. Select curriculum manager from top nav bar.

  3. Select instructors option and select create instructor.

  4. Enter required fields for instructor creation.

    1. Additional fields can be added as necessary.

    2. Address and email required.

  5. Click save button to create instructor.

2/27/2023 - ELI Community

After student fills out Zion’s application. They take test and based on results they are offered a place in the program.

In Community the only hold in the system is based on income tuition.

Students can be registered through the staff view to get around the payment option if they want to pay in person. Registering online requires immediate payment in the system.

Complete Application:

  1. Find course in d1 public view, access it and select apply now.

  2. Login to existing student account or create new one

    1. Creating new account requires filling out student profile page and creating a password.

      1. Creating a new profile will create a new unid in peoplesoft.

  3. Navigate to my applications in student profile page

    1. Start application process.

  4. Fill out required fields of application and select submit button.

  5. If application requires payment, checkout requires you to login to the system to confirm identity.

    1. Use cart checkout procedure and fill out required fields and select submit button.

Pay in Person:

  1. Login to d1 staff view

  2. Go to enrollment manager in top nav bar

  3. Search for a student or create a student

  4. Fill out required profile fields or select student profile.

  5. Select courses in top nav bar and search for course.

    1. Click register button.

  6. Proceed to checkout and select continue button.

  7. Input method of in-person payment student prefers and select pay balance.

  8. Select proceed button.

  9. Navigate to authorized payment page and attach pdf receipt to send it to student.

    1. Receipt can be printed in person as well.
