Those with the UCL Schedule Role are responsible to schedule courses and classes that their Unit has approved for the semester. Our record of truth is The University’s PeopleSoft (PS) System maintained by the University’s Registrar’s Office. The University uses the Kuali system to submit all new courses and course changes, but for many reasons, including UCL’s range of publish dates they have made an exception giving us a very limited number of staff (DLT Team) with direct access in PS to input this information for the entire department. (Exceptions for credit courses or “meets with” courses. Those courses must be coordinated with the Registrar’s Scheduling Office.) Therefore UCL utilizes our very own UCL Service Desk where Schedulers can submit new course information or changes as necessary.

UCL also utilizes the University’s CLSS system in which all departments at the University submit their class/section information and since UCL has a lot of unique features the DLT has documented the steps involved in this process. UCL Schedulers are expected review and understand UCL’s https://uclsupport.atlassian.net/l/cp/Jx2iZb11 and CECE Scheduler Training (Canvas Course). These two pieces of information are a critical part to UCL’s scheduling process and will review the steps in which course, class, fees, and proofing information before publishing the classes online or in a catalog.

The DLT Team has provided many KB articles with specific information on these processes. These guides, as well as the Canvas courses, have been written to help direct UCL Schedulers through this process and should be referenced frequently. UCL Schedulers should also expect to attend trainings three times a year to review various processes or system/process updates.
