AV Cables For UUCE Meeting Rooms

The purpose of this article is to establish a consistent practice of storing cables necessary for presentation in each of the UUCE meeting rooms. This should ensure cables don't go missing, but are always available for use in these rooms. This procedure also has the benefit of leaving our rooms looking tidy and professional.

The audience for this article is any staff that use our meeting rooms.

Though this practice may take a moment, it is very convenient compared to not having the necessary cables, or the more extreme practice of having to check cables out from RI for every meeting.

Rooms include:

  • (219) Mt Olympus
  • (233) Grandure Peak
  • (252) Mt Superior
  • (268) Twin Peaks
  • (279) Lone Peak

Each room is supplied with an HDMI cable for presenting to the room's TV, and an Ethernet cable in case UConnect is not available or sufficient for the presentation. These are labelled with the room name.

Each room has a location for storing cables in a cabinet, or in the case of Twin Peaks, a bin on the table. These locations are fairly intuitive to find and have a label indicating you should put cables away there. 

Important: What to do if a cable is missing.

If you ever can’t find a cables in a meeting room's storage location:

  • Others are available from either RI or the network team. Please use these resources rather than taking cables from other rooms, which just creates additional problems. 
  • Report the missing cable to the network team as soon as possible so we can ensure the next meeting is not delayed.

Note: HDMI adapters are available from RI.

All CECE issued laptops either have HDMI output, or are supplied with an HDMI adapter for use in any of our meeting or classrooms. If a presenter brings a device that does not have HDMI output, a variety of adapters are available for checkout from RI, including:

  • USB-C
  • Mini Displayport / Thunderbolt
  • Full Displayport
  • Lightning
  • VGA

(This item should be expanded into an additional KB article: Using AV in UUCE meeting rooms) Connect the presentation device to the room's TV using the labelled tabletop HDMI ports, or in the case of Lone Peak, the wall port below the TV. Be sure the TV's "HDMI 1" input is selected.

Please put cables away after your meeting.

After meetings, please return cables to their storage location. This practice of tidying after ourselves shows consideration for the next occupants, looks clean and professional, and also prevents cables from wandering away for other uses. If you walk past a meeting room and notice cables left on the tables, feel free to take a moment to stow them and award yourself a taco!
