Salesforce - Quick Text for Emails

Say goodbye to cut and paste.  Add a quick text to your case emails. This functionality is currently only available to the Exam Service team as of Nov 21, 2023 .

Instead of writing or cutting and pasting the same text over and over again, you can add pre-written text to your Salesforce emails.

 

Using Quick Text in a Salesforce email

  1. From the case you are working on, choose Activity > Email > Speach Balloon

A list of available pre-written quick texts will pop up and allow you to choose one to add to the email.

Create Quick Text Messages

Create custom-predefined messages to insert into emails and share them with your team. Quick text can include merge fields, line breaks, and special characters.

  1. From the App Launcher in Salesforce, open Quick Text tab

  1. Click on New to create Quick Text (You can create record type for Quick Text)

 

  1. Enter a message name (Use a name that helps users identify when to use this message)

  2. Enter the message (The message can include line breaks, lists, special characters, merge fields, and up to 4,000 characters)

  3. You can merge fields based on your requirements.

  4. Select the channels in which you want the message to be available.

Email : For Email actions

Event : For Event actions

Phone : or the Log a Call action

Task : For Task actions

  1. Select a category (FAQ)

  2. Select a channel (Email)

  3. If you use merge fields, click Preview to review the message with data from the records that you choose.

  4. Click Save

Now anyone on your team with access to the ‘Exam Services Quick Text’ folder, or the folder assigned to your team can use the new Quick Text you created.
