Hiring - 1. Before You Post the Job

Before posting any job, even if it's an existing job and we're just replacing someone, it's important to adhere to the following steps. It gives us the chance to reevaluate our needs and make sure we're staffing as efficiently as possible.

Steps before posting the job:

  1. Discuss the vacant or new position with your direct manager (director or dean). 

  2. Present a justification on the objectives and duties of this position, including how it will be changed to support overall strategy. If there aren't plans to change the position, explain why it is staying the same.

  3. Your director will discuss the position with the Dean.

  4. Work with the HR Associate Director and the Dean to determine HR title and the working title.

  5. Have the HR Associate Director pull salaries and titles for positions with the same HR title for comparison. This could include both employees within and outside of UCL. The information does not identify anyone personally; it conveys salary and title information without names attached.

  6. Have the HR Associate Director pull the salaries and titles of other staff within that unit and provide that to the director and Dean. (For example, within Personal Enrichment)

  7. Decide if you want to post the position externally (7 days minimum), internal to the University (7 days minimum), or internal to the department (3 days minimum). Refer to https://www.hr.utah.edu/serviceTeams/job-posting-procedures.php for full details about posting procedures.

  8. Work with the HR Associate Director to write the job posting and provide it to director and Dean for review.

  9. Propose salary range to director and Dean.

  10. Gain approval from director and Dean on the job posting and the salary range PRIOR to posting the position.

  11. Upon approval, post position.
