Astra Information for UCL Users:

The playbook below is in the List View inside Tableau. If you are using Grid View it will be slightly different.

You can change the view by selecting the drop down arrow and selecting List View

Because Astra is a University system it does not reserve space during any of the breaks (fall, spring, holiday) and since UCL does schedule classes during the breaks it is necessary to reserve your space directly in Astra.

 

To ensure your space is reserved during semester breaks

  1. Login to Tableau

  2. Navigate to Scheduling Reports (Explore> Scheduling> Room Report for Fall-Spring Break)

  3. Select Room Report

       

  4.   Filter Data as needed to show classes your Unit has scheduled in CLSS/PS. Any space reflected on this audit will then need to be added manually to Astra.

  5. Reserve your team's space needs in Astra as a Special Event. Reference material is available in the UCL Astra Canvas Course.

What should I do if I've reserved space in Astra for a class that has canceled?

If your class needs to be canceled regular protocol should be followed by submitting a task to the UCL Service Desk (uclsupport@utah.edu) with the class cancellation (term, subject, catalog number, and section) information.
